Privacy Policy

The protection of the personal data of our customers is very important to us. We use your personal data confidentially and in accordance with the legal data protection regulations (GDPR) as described in this data protection declaration. Data will only be collected with your prior explicit consent. This data protection declaration is addressed to you as a trade fair exhibitor or in a comparable role in which LeadSuccess is used to collect contact data from trade fair visitors. You will find information on the personal data that you collect with LeadSuccess in chapter 3.

1  Type, Scope, and Duration of Stored Data
There are different situations in which your personal data is collected and stored in LeadSuccess and other systems. The type, scope and duration of the data collected also depend on the respective situation and are described in detail for each situation.

1.1 Customer of a Trade Fair Company
You are a customer of a trade fair company if we provide you with access to LeadSuccess on behalf of this trade fair company for the duration of a trade fair.
The personal data stored from you is the data transmitted to us by the trade fair company whose customer you are. That is at least:

⋅ Company name
⋅ Name and first name of contact person
⋅ E-mail address of the contact person
⋅ Country
⋅ Telephone number, also mobile number for support support
⋅ The data of other APP users, as you enter it yourself in the LeadSuccess Portal.
⋅ Further data such as salutation, postal address etc. are possible.

Your personal data will be stored in the central LeadSuccess database on a server at an EU site in the Azure Cloud. All these personal data will be deleted from the LeadSuccess database one month after the end of the fair. There will therefore be no permanent storage of your data unless you have explicitly agreed to this.

1.2 Customer for One Trade Fair
You are a customer for one trade fair if you use LeadSuccess as a trade fair exhibitor for the duration of just one trade fair and are our direct customer. The following personal data is stored from you in the central LeadSuccess database on a server at an EU location in the Azure Cloud:

⋅ Company name
⋅ Name and first name of contact person
⋅ Salutation
⋅ E-mail address of the contact person
⋅ Postal address for the invoice
⋅ Country
⋅ Telephone number, also mobile number for support support
⋅ The data of other APP users, as you enter it yourself in the LeadSuccess Portal.

All these personal data will be deleted from the LeadSuccess database one month after the end of the fair. Your data, including the name and first name of the contact person, will be stored in our CRM database, but never the data of other APP users. You can object to this storage informally at any time. Your complete invoice data will be stored in our accounting system for at least 10 years and also passed on to our tax consultancy firm.

1.3 Annual Customer
You are a so-called annual customer if you have concluded a LeadSuccess contract with convey Information Systems GmbH that extends beyond the duration of a trade fair. The following personal data is stored from you in the central LeadSuccess database on a server at an EU location in the Azure Cloud:

⋅ Company name
⋅ Name and first name of contact person
⋅ Salutation
⋅ E-mail address of the contact person
⋅ Postal address for the invoice
⋅ Country
⋅ Telephone number, also mobile number for support
⋅ The data of other APP users, as you enter it yourself in the LeadSuccess Portal.

All these personal data will be deleted from the LeadSuccess database one month after the end of the fair. Your data, including the name and first name of the contact person, will be stored in our CRM database, but never the data of other APP users. You can object to this storage informally at any time. Your complete invoice data will be stored in our accounting system for at least 10 years and also passed on to our tax consultancy firm.

1.4 Customer with Test Account
You can download the LeadSuccess APP from any Apple, Google or Microsoft App Store at any time. In order to use the APP as a customer with a test account, you must register in the APP. The following data will be collected:

⋅ Company name
⋅ Name and first name of contact person
⋅ E-mail address of the contact person
⋅ Postal address for the invoice
⋅ Country
⋅ Telephone number, also mobile number for support
⋅ Password

One week after your registration your test access to LeadSuccess APP and LeadSuccess Portal will be blocked. Your data will be deleted one month after your registration. In the time interval between the blocking of your test account and the deletion of the data, you can still gain access to the personal data you have collected with LeadSuccess on request. Your data, including the name and first name of the contact person, will be stored in our CRM system. You can informally object to this storage at any time.

2 Where and for what Purpose will Your Data be Stored?
The LeadSuccess databases are stored in the Microsoft Azure Cloud on servers within the European Union. Your data will be stored for a trouble-free use of LeadSuccess including high quality support. The data will only be stored during the period of LeadSuccess use and will be deleted one month after the end of the contractual relationship. The databases of our CRM and billing system are stored in databases in our locked server room. The data is stored in our CRM system so that we can remain in contact with you as our customer. You can object to this storage informally at any time.
The data is stored in our accounting system for the duration prescribed by law for proper accounting, at least 10 years.

3 The Personal Data You Have Collected with LeadSuccess
As an exhibitor, you assume full and exclusive responsibility for the correct and GDPR-compliant handling of the personal data that you record with LeadSuccess. In particular, you also assume sole responsibility for personal data that you collect with the LeadSuccess APP on your own mobile device. If you rent such mobile devices from us, you will receive instructions on how to use them. With the access data for the LeadSuccess APP and the LeadSuccess Portal, you will receive instructions on how to use LeadSuccess GDPR-compliant. Since we have access to the personal data you have collected with LeadSuccess, we act as contract processors for you or the trade fair company whose customer you are in accordance with GDPR Art. 28.
In this data protection declaration, we explain to you that we

⋅ Treat the personal data you collected with LeadSuccess with absolute confidentiality,
⋅ Treat all statistical statements about the personal data you collected with LeadSuccess, such as number, country distribution, etc., with absolute confidentiality,
⋅ Will not pass on or otherwise process the personal data and evaluations you collected with LeadSuccess to third parties unless you explicitly instruct us to do so,
⋅ Access the personal data you collected with LeadSuccess only for urgent support reasons,
⋅ Delete the personal data you collected with LeadSuccess from the LeadSuccess databases at the same time as your own personal data,
⋅ Do not store the personal data you collected with LeadSuccess in other systems outside LeadSuccess.

The LeadSuccess databases, in which all personal data collected with LeadSuccess is stored, are located in the Microsoft Azure Cloud on servers within the European Union. The technical-organisational measures (TOMs) for access control to these databases and for the integrity of the data are documented in accordance with the requirements of the GDPR and can be presented on request. The personal data recorded with LeadSuccess on the (mobile) end devices are only transferred in encrypted form to the LeadSuccess databases in the Azure Cloud. You yourself determine the type and scope of the personal data you collect with LeadSuccess, because you can define your own questionnaire in the LeadSuccess Portal. You also determine the group of affected people in accordance with the GDPR. We undertake to inform you immediately if we suspect that unauthorised persons have or have had access to the personal data you have collected with LeadSuccess.

4 Information, Deletion, Blocking, Objection
You have the right at any time to free information about your stored personal data, their origin and recipient and the purpose of processing. You have the right to correction, blocking and deletion of this data. You can contact our data protection officer at any time for this and other questions regarding data protection. You will find the contact details in the last chapter of this document. In case of suspicion of data protection infringements, you have the right to complain to the responsible supervisory authority.
